This privacy policy explains how vapcover.co.za (“we”, “us”, “VAP Cover”) collects, uses, stores, and shares personal information when you use our website, app, and related services. We process personal information in line with South Africa’s Protection of Personal Information Act 4 of 2013 (POPIA).

1. Information we collect
Depending on how you use the service, we may collect:

- Account details — login identifiers, preferences, communication settings
- Insurance details — policy type, current insurer, requirements you provide
- Product selections — value added products you choose or enquire about
- Quote and cover information — quotes, status, reference numbers, claim-related notes you submit
- Technical data — IP address, device/browser type, pages visited, approximate location derived from IP
- Cookie and similar data — as described in our Cookie policy
2. How we use your information
- To create and manage your account and dashboard
- To prepare and send quotes, and to administer cover with underwriting partners
- To communicate with you about your quote, policy, claims, and service updates
- To improve our website, security, and customer experience
- To meet legal, regulatory, and fraud-prevention obligations
- With your consent, for optional analytics or marketing (you can opt out)
3. Legal bases (POPIA)
We process personal information where:
- It is necessary to conclude or perform a contract with you (quotes, cover, account)
- It is required by law
- It protects a legitimate interest (security, service improvement) without overriding your rights
- You have consented (for example optional cookies or marketing)
4. Sharing your information
We may share personal information with:
- Licensed insurers and underwriting managers who underwrite or administer VAPs
- Service providers who host our systems, send email, or support operations (under contract)
- Professional advisers and regulators where required
- Anyone you ask us to share with, or where the law requires disclosure
We do not sell your personal information.
5. Storage and security
Information is stored on secure systems (including cloud infrastructure such as Google Firebase / Google Cloud where configured). We use appropriate technical and organisational measures to protect personal information. No system is completely secure; please use a strong unique password for your account.
6. Cross-border transfers
Some processors may store or process data outside South Africa. Where we transfer personal information abroad, we take steps required by POPIA so that information remains protected.
7. How long we keep information
We keep personal information only as long as needed for the purposes above, including legal, tax, and underwriting record requirements, then delete or de-identify it where practicable.
8. Your rights
Subject to POPIA, you may request to:
- Access personal information we hold about you
- Correct or update inaccurate information
- Object to certain processing, or withdraw consent where processing is consent-based
- Request deletion or restriction where the law allows
- Lodge a complaint with the Information Regulator (South Africa)

9. Children
Our services are aimed at adults. We do not knowingly collect personal information from children under 18 without appropriate consent from a competent person.
10. Changes
We may update this policy from time to time. The “Last updated” date at the top will change. Continued use of the site after updates means you accept the revised policy.
